Job Title: Part-Time Administrative Assistant​

Location: Nashville, Tennessee​

Hours: 10 hours per week​

Position Overview: The Part-Time Administrative Assistant will support the daily administrative operations of Heart of Mary House. This role involves managing communications, organizing schedules, and performing clerical tasks to ensure the smooth functioning of the organization.​

Key Responsibilities:

  • Communication Management:
    • Answer and direct phone calls professionally.
    • Manage incoming and outgoing correspondence, including emails and mail.​
  • Scheduling and Coordination:
    • Assist in scheduling meetings and appointments.​
    • Prepare and distribute meeting agendas and minutes.​
  • Clerical Support:
    • Maintain electronic and physical filing systems.​
    • Handle data entry and update databases as required.​
    • Order and manage office supplies.​
  • Event Assistance:
    • Support the planning and coordination of events and activities hosted by Heart of Mary House.
  • Financial Administration:
    • Assist with basic bookkeeping tasks, such as processing donations and preparing financial reports.​

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration are a plus.​
  • Proven experience as an administrative assistant or in a related field.​
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).​
  • Excellent verbal and written communication skills.​
  • Strong organizational skills and attention to detail.​
  • Ability to handle sensitive information with confidentiality.​
  • A commitment to the mission and values of Heart of Mary House.​

Working Conditions:

  • This is a remote position with flexible hours, totaling 10 hours per week.​
  • Specific working hours can be discussed and adjusted based on mutual agreement.​

Job Title: Caregiver

Reports to: Executive Director

Position Description
The Caregiver serves a supportive role, acting as an advocate for the resident/family/caregiver. The position of Caregiver provides personal care, delivery of medication in accordance with the hospice plan of care along with emotional care for the resident and their circle. This is done while following all organizational and program policies and procedures and maintaining the values of Catholic Social Teachings.

As a representative of Heart of Mary House (HOMH), it is expected that both professional and social behavior be aligned with the ethical and moral standards of the Catholic Church.

Key Tasks

  • Provide quality end-of-life (EOL) care and support to the resident as directed by the HOMH in compliance with the hospice agency’s plan of care, the resident’s preferences, and the policies and safeguards of HOMH.
  • Provide routine personal care as requested by resident in accordance with the mission of HOMH and the hospice plan of care. Responsible for meeting resident needs requires frequent bending, stooping, lifting, pulling and pushing to assist residents with activities of daily living. Such activities include repositioning in bed, turning, transferring to chair or commode, assisting in ambulation with or without an additional person or assistive device, providing incontinence, elimination, and hygiene care, assistance with feeding and/or drinking and medication administration, to consistently work towards assuring the residents’ comfort
  • Admission criteria allows residents to weigh up to 200lbs. Most residents are confined to their beds and are unable to assist Caregivers when they are repositioned, have brief or linen changes, or moved in any way. Caregivers will have assistance of volunteers or hospice staff, but must be able to effectively assist with moving/transferring residents frequently, using good body mechanics and techniques without lift devices
  • Act as a liaison to the hospice agency and advocate for the residents admitted to HOMH; implementing the plan of care as prescribed by the hospice agency: evaluating the resident throughout the shift and addressing any needs in a timely manner. Work collaboratively with hospice physicians, nurses, social worker, chaplains and other professionals to provide the highest quality EOL care to residents
  • Anticipate the residents’ needs including pain and symptom management, as well as psychosocial and spiritual concerns, while reporting any variances or needs to the hospice agency and HOMH director
  • Complete accurate and timely documentation according to the policies of HOMH
  • Provide knowledge and guidance for the volunteers as directed by HOMH administration
  • Maintain cleanliness and organization of household. This includes tasks of frequent disinfection, cleaning, dusting, moving furniture, laundering, washing and drying, meal preparation and storage, disposal of waste and recycling, and printing and copying of needed documents
  • Notify the Executive Director or On-Call Administration of all resident concerns, household issues, or changes in staffing assignments
  • Perform other relevant duties as requested/ required
